Job security is on most peoples' minds at the moment. The "will I, won't I" question niggling away at the back of their minds; will or won't I have a job next week? Lack of control is recognised and major factor in stress and the current uncertainty in many businesses and public bodies means that no employee can answer that question or exercise any control over it. For many people there are a number of reasons that stop them from going contracting. Most of them are rooted in fear. There is one simple way to take control of the "will I, won't I" dilemma - and that is to quit your current job. People come to contract work for a variety of reasons, some fire their employers out of sheer frustration - firing does work both ways - others find themselves 'occupationally challenged' or redundant as it is also known; while some simply take the very brave decision to give it a go. It is easy to assume that working for an employer is less risky - especially at the moment - but let's take some of those assumptions and just see if we can't turn them on their heads.

I prefer a regular pay cheque

A once a month payment of your salary is great. You have very little control over whether that will continue as the economy is not exactly burgeoning with the green shoots of recovery. Contract workers do have control over their income. If you don't have clients you don't have income, however as a contractors it is down to you to find them. Hard work and commitment pay off as contractor and you can build a strong client list - and expand or reduce this as required. In a regular job, hard work and commitment pay off in several ways - you might get to be "employee of the month" or you might get a bonus. The latter is rarer these days as organisations struggle to make ends meet, while if you are the sort of person that loves the former "accolade" you probably won't suit contract work. Contracting is about seeing real results for your hard work - usually financial - but also in terms of job satisfaction and self-esteem.

There is no freelance work at the moment

Quite the opposite; it is cheaper for an organisation to engage contractors than to have a permanent staff. In this economic climate many organisations are looking to reduce permanent staff and recruit contractors instead. It's difficult to rid yourself of an expensive payroll of permanent staff - not so with contractors. Using contract staff when the books are full, and reducing the number of them when they aren't is the ultimate in flexible staffing. From the contractor point of view, when one company lays people off, there is always another out there hiring. You'll also be able to demonstrate that you have contracting experience - valuable stuff. For contractors the recession is a bonanza.

Not for the faint hearted

Contract working is not for the faint hearted but is the most rewarding way of earning a living. You'll need to put in many hours of hard work and be thoroughly committed - but nobody but you will reap the rewards and the benefits of this way of working. Remember, contractors never seem to work in a job that they hate. Not all employees can say the same.

How to Set Up a Limited Company

Many contractors or freelancers who may initially have been umbrella, or in some cases 'Sole Trader' may find that setting up a Limited Company can offer the best long term solution for a number of reasons. There are three types of these in the UK which are: Private Limited Company (Ltd); Public Limited Company (PLC) or a Community Interest Company (CIC). A CIC is a structure used for community organisations and PLCs allow you to sell shares to members of the public. Both are not relevant structures to contractors - so we will focus on a Ltd Company below.

The advantages of Limited Companies

The first significant advantage offered is that they are 'limited liability' structures. This means that the shareholders of the company are not liable for its debts should it fail. In the case of contractors and freelancers the shareholder is normally the individual contractor - though ownership can be split between different people including family members.

LTDs have an existence in law in their own right - registering them is a little like registering a birth! The company is responsible for its own debts, has its own bank account and applies for loans and finance in its own right.

Unlike sole traders, limited company profits are subject to corporation tax whereas a sole trader will pay personal tax on any profits. Payroll and PAYE systems are however required to be in place to pay employees (the contractor). In general it is advisable to have an accountancy firm to deal with this responsibility for the company.

Requirements for Limited Companies

A limited company will require at least one company director - anybody can fulfil this role as long as they are not an un-discharged bankrupt. One shareholder is required - a minimum requirement of one shareholder owning a share of £1.00 is all that is necessary and the shareholder can also be the director. The requirement for a company secretary is no longer in place for a limited company (only a PLC).

Three main documents will be required to set up a limited firm and these are as follows:

- The Certificate of Incorporation: This is the company's birth certificate and creates the company as a legal entity.

- The Memorandum of Association which includes the address of the company and defines what it will do; standard document templates are available to create this document.

- The Articles of Association which describe how the company will be run.

Who can set up a limited company?

Anybody can form one in the UK, regardless of their own nationality - remember the company becomes a legal entity in its own right. Any name can be used as long it is not already in use. They are registered in the UK at Companies House and the process is relatively straight forward and can be done by an individual. Many contractors choose to use the services of an accountant or company formation specialist to do this, however, as using an experienced professional can ensure that problems are not encountered later - important particularly in the complex area of tax responsibilities.

Claiming Expenses From an Umbrella Company

For contractors or freelancers claiming tax back for expenses is one way you can maximise your 'take home pay' and minimise your tax bill. Done correctly, it's perfectly legal and is not 'tax avoidance'. Naturally, HMRC has strict regulations and controls on claiming expenses and any costs incurred need to be "wholly, exclusively and necessarily" through your work. Tax officials can at any time make a detailed investigation into your accounts and will be particularly interested in your expenses claims.

You can claim expenses when working through an Umbrella company and you will need to provide detailed documentation to the company to be able to do so. You should always keep receipts and records of any expenses incurred and you will need to keep these for at least five years. Below are brief details of some of items you can claim expenses from an umbrella company.

Expenses you can claim

- Mileage & Travel: You can claim for mileage to and from work using your own vehicle, travelling as a passenger in a car and for other travel costs associated with your work. Rates vary if you are travelling in your own or somebody else's car and also are paid at a lower rate after the first 10, 000 miles in a year. You will need VAT receipts for fuel to claim for travel.

- Meals and accommodation: Some umbrella companies have what's called a 'Dispensation'. This may allow you claim for meals if you have incurred a cost and have a receipt, but you may not need to send the receipt to your umbrella company. If you are staying away from home, you can claim accommodation expenses and for an evening meal.

- Equipment & Clothing: Expenses are allowable for 'tools' and for protective clothing - not normal day to day attire. Tools must be exclusively for work use as must any expense item.

- Phones: Although you can claim for business calls - on either land line or mobile phones you cannot claim line rental on your home phone or personal mobile.

- Journals and memberships: Membership of professional associations are an allowable expense in many instances - the HMRC provide a comprehensive list of those that fall into the allowable category.

Legitimate claims

Whatever expenses you do incur remember you will need to provide receipts. Allowable expenses offer a good way to reduce your tax bill - but they must be legitimate expenses. Good record keeping and claiming only for genuine costs incurred as part of your job are essential. HMRC do provide excellent guidelines and information on what you can claim for and how to ensure your claims are legitimate.

As the recession continues to slog along, slumping sales are forcing many accounting practitioners to re-think their pricing strategies. Today's small local accountants have nearly abandoned hourly rates in favor of fixed rate pricing and value pricing.

As self-employed consultants, small and local bookkeeping, accounting and tax preparation practitioners follow the latest trends taking place in industry. Trends in the industry that are often telegraphed in the more competitive local market before making their way into the higher echelons of the Big 4, the mid-tier and the regional firms.

Historically, accountants have priced their services to clients based on some form of an hourly basis. Could Your Business Use Job Costing?

I just got off the phone with a very frustrated contractor. He has been in business for several years, but his business has grown to the point that he knows he needs to keep a closer eye on his numbers. In fact, he said "I can't sleep because I'm worried my reports are screwed up!"

I agreed to help him out by reviewing what his current QuickBooks file is doing for his business. He wants help to figure out if he's doing his "job costing" correctly so he can know how much money he's making on each job.

Job costing was part of my duties when I worked for a manufacturing company several years ago. I had to make sure the proper systems were in place to track all the employee hours and materials and supplies properly to each job. It was an ongoing process of reviewing data on a regular basis to check for flaws in the system and for inaccuracies in the numbers. I enjoyed it immensely, and learned a lot about how a breakdown in the RECORDING of information can really screw up the job profitability reports.

But, a manufacturing company isn't the only business that needs job costing.

Job Costing

What is job costing? Simply put, it is a way to track the profit and loss on specific jobs or projects for your business. Knowing how profitable or unprofitable your work is will help you make better business decisions when moving forward.

Manufacturing businesses aren't the only companies that can benefit from job costing:

-Interior Designers can track profit by customer project
-Road Construction companies can track actual profit vs estimate
-Plumbing contractors can track whether they are making or losing money on each service call
-Law firms can track profit and loss per case
-Consultants can track profit and loss per consulting job
-Online business managers can track profit and loss by project -and more.

As you can see, job costing can be very useful for many types of businesses. Figuring out the profitability of a specific project requires you to track several pieces of information.

Information that's used to determine job profitability. In order to properly "cost" your jobs, you'll need to have a way to track income and expenses for separate projects. One other note: All costs related to a specific job are also called "cost of goods sold". My choice to track job costs is QuickBooks.

Here's the information you want to track for each job:

-Labor cost- including time for employees and subcontractors; and any taxes, insurance, and benefits you pay for this labor.
-Materials cost- parts, supplies, products used on the job
-Cost of equipment to get the job done- example: did you rent any equipment? Also, figuring out a way to allocate the use of your own equipment on a job is important.
-Mileage, travel, meals-this is all an important part of getting the job done and needs to be carefully tracked
-Licenses, permits, etc-any extra licenses or permits that are required for the job need to be tracked to the job
-other-ANY expense that is directly tied to the job is considered a job expense.

The Job Cost Result

Now that you have a way to track expenses by job, you'll be able to get a summary at the end of each job or project that will look like this:

Total income for the job

MINUS

Total job expenses (from list above)

EQUALS

Job Profit or Job Loss

Job costing is extremely important for several reasons and helps you:

-keep up on the current pricing of each job cost item
-know if you've been overbilled by your vendors
-point out inefficiencies in the work process
-point to problems with subcontractors and employees

How to Choose a Personal Accountant

Taxes are a necessary evil in the course of life, but core to doing business or growing your personal wealth. Rather than dealing with all the good and bad advice on the internet, having an accountant handle the complicated state of my finances reduces the stress I get from doing my own taxes each year and wondering if I did anything wrong. Leave it to the pros so you can focus on the thing you do uniquely well - but, finding a great accountant isn't easy and after going through half a dozen myself, I've got some tips for finding the right one.

What's the point of having an accountant, can't I just use software and advice from the internet?

After doing my own taxes through college, I've realized that most of the off-the-shelf software out there will get you pretty good results. In fact, most average accountants won't do much better than the software you're probably using - if you're happy doing your own taxes and can take the time to research the latest tax laws, you're a better person than I. Good luck to you.

For the rest of us, we're pretty busy and we understand that leaving stuff like this to the right professionals can be the best decision you can make. Besides, you go to a doctor when you're sick and you go to the lawyers when you get sued, why not go to a good accountant when you need to worry about taxes?

Taxes and the shades of gray

Take a look at a typical tax return and you'll soon realize that there are thousands of ways to interpret the tax rules. It's pretty clear that filing taxes can be more of an art than science.

Average accountants will take a conservative approach by default. In my experience, only one accountant I know mentioned deductions from retirement accounts or luxury vehicle purchases. (Incidentally, he's been my accountant for years now.) Note: If you're getting nervous at the very thought of bending tax rules to your advantage, you probably ought to stop reading immediately - this post isn't for you. For the rest of you, what you need is a bulldog accountant that has creative ideas on how to bend tax rules to your advantage.

Sure, bending the rules might seem shady but the point is that bending the tax laws is beyond the comfort zone of most people, including me. That's why you need to find an aggressive accountant to do the work for you (and sign his name at the bottom of the return) - aggressive, while staying safely within generally accepted accounting principles, of course.

Fishing for Accountants

The key to finding great people is to ask the best people around you for their contacts - this works especially well if you know a number of successful entrepreneurs. Even if they can't give you the contact information for the person they use, they'll surely have some dirt on the accountants to stay away from.

If this doesn't work for you, the next best option is to simply start combing through the phone book and interviewing. Sure, this will suck up a lot of your time but desperate times call for desperate measures.

Loaded Questions: The Art of Interviewing Accountants

Interviewing accountants is pretty straightforward but you need to understand that they will charge you for their time. Don't start setting up in-person interviews until you've whittled the list down to the top 1-2 that you like.

Keep it simple, your goal for the interviews is to understand two primary things:

Do you get along with the accountant? You two are going to have a number of personal conversations over the next couple of years, make sure your personalities match. My rule of thumb: I won't do business with you unless I can see myself drinking with you. On a scale of 1-10 (with 10 being the most aggressive), how conservative/aggressive is this accountant? This management style builds up loyalty but like autocratic management, it still supports dependence.

3. Democratic
This style of management puts complete confidence in employees and allows them to make decisions. Authority is delegated and workers are empowered to make conclusions and plans, with the consent of the proprietor. Given the set up, this management style usually involves meetings and the formation of discussion groups.

Though this does promote independence on the side of the workers, the decision making process is severely lagged as contradictions are bound to occur. Regardless, if important matters are deliberated, disagreements may be healthy as it saves the business from biases.

4. Laissez-faire
This type of management basically involves full turnover of power. The leader stands side-by-side with his staff as they take over the responsibilities of the leader. It's every department for their selves.

Communication does run both ways and it does help bring out the best from everyone. But given that there is no unifying element to the decisions made; laissez faire's management style is actually pretty poor.
